FAQ · IT and security

What your IT will ask before the appliance arrives.

One appliance on your office network, reached from a browser. Here is what it asks of your network, what does and doesn't leave it, how we handle updates and support, and what we settle with your firm in writing. Answers describe Chainlocker as delivered to firms at launch.

IT requirements

What do you supply, and who owns it?

We supply the appliance: compact hardware we install on your office network that runs Chainlocker. At launch, the AI runs on a separate Chainlocker device we deliver to your office alongside it. We own the hardware, and we install and update its software. You rent it, so there is no hardware to buy: one monthly fee covers the hardware and the software. Your staff use Chainlocker in a web browser, so there is nothing to install on their computers.

What does it need from our network?

A connection to your office network, plus outbound internet access for updates, support and health checks. Processing does not use the internet: at launch, text extraction, OCR and tagging all run on site, on the appliance and the Chainlocker AI device alongside it. There are no inbound firewall rules and no port forwarding. If your firm filters outbound traffic, we agree the exact allow rule with your IT before install.

How do reviewers reach it?

From a current web browser on your office network. Staff who work remotely can reach it through your firm's own VPN. We confirm the remote arrangement with your IT at install.

Does anything leave our network?

Not your documents. At launch, all processing happens on site, on the appliance and the Chainlocker AI device alongside it, behind your firewall, and original files stay where your firm keeps them, untouched. What leaves is updates, support and health checks, with no document content. The application loads no scripts, fonts or other files from the public internet.

What happens if our internet goes down?

Processing and review carry on, because at launch everything runs on site, on the appliance and the Chainlocker AI device. Updates, support and health checks wait until the connection is back. Export packages open with no network at all.

How much storage does it need?

Uploaded copies, the review database and finished exports are kept on the appliance. We size storage with each firm at install, based on the volume of documents you expect.

Security

Where does our data live?

On the appliance in your office. Your original files stay where your firm keeps them, untouched; uploaded copies, the review database and finished exports are stored on the appliance. At launch, processing happens on site too, on the appliance and the Chainlocker AI device alongside it, so your documents never leave your network.

How are updates delivered?

We deliver them ourselves, over an encrypted connection the appliance opens to us. Nothing updates itself automatically. Each update is a specific release that has passed our review process, and the appliance runs exactly that release. Updates carry software, never your documents, and your data and review history carry forward through every update.

Does the application call outside services?

No outside AI service is used, and the application loads no scripts, fonts or other files from the public internet. At launch, the AI runs on a Chainlocker device delivered to your office alongside the appliance.

Do you keep any of our documents?

No. At launch, processing happens on site, on the appliance and the Chainlocker AI device in your office, so no Chainlocker cloud receives or keeps your documents. What the appliance stores (uploaded copies, the review database, exports) stays on it, under your control.

Are reviewer corrections used to train your models?

No. Reviewer decisions stay on your appliance.

How does support access work?

Our support team reaches the appliance only over an encrypted connection the appliance opens to us, and only to apply updates and check its health; that work never needs your documents. Your IT can disconnect it at any time. Processing and review carry on, and updates and support wait until it is reconnected.

What happens when we stop using Chainlocker?

End-of-service steps, including data return and erasure, are set out in your agreement with us.

Will you answer our security questionnaire?

Yes. At launch, processing stays on your premises, so there is no Chainlocker cloud holding your documents, and we are glad to answer your firm's security questionnaire and walk your IT through the setup.

Will you sign a confidentiality or data-processing agreement?

Yes, on request. We will review your firm's standard confidentiality or data-processing terms.

Planned

Does it work with Clio?

Planned, not available yet. An optional Chainlocker app on your staff's computers will bring a matter's documents in from Clio and, when a staff member chooses, send the finished index and results back to the matter. Chainlocker itself never contacts Clio: results go to Clio only when your staff choose to send them.

Will each reviewer have their own login?

Planned, not available yet. Individual logins will let each reviewer sign in with their own account. Today, your IT decides which machines can reach the appliance on your network.
